The problem
SJBiomed is a union of medical biologists with no fixed premises, running with a small team and one assistant working from home. The core of its administrative work is memberships and mailings to members: repetitive, low-value tasks that are nonetheless critical. And all of it rested on tired foundations:
- A system dating from the early 2010s, never really rebuilt.
- A saturated assistant.
- A board permanently filling the gap, absorbing a secretarial overflow that had grown far too heavy.
What it was costing
Keeping memberships in good order forced the union to recruit an apprentice every year simply to make up the numbers. And the real cost lay elsewhere:
- An organisation dependent on one person for memberships and mailing lists, at the price of a considerable mental load.
- Tasks that piled up without being delegated or automated: the to-do list only ever grew longer.
- Activity that was hard to follow. With no time to spare, it was impossible to measure the impact of the actions taken, particularly on social media, which matter for showcasing the union’s partnerships.
What we built
A foundation of automations on Make, aimed at the heaviest points first. No-code allowed fast, low-cost development: a sensible trade-off between quality and budget, which is decisive for a non-profit organisation.
- Membership management, the most structural automation of all: sign-ups and follow-up now run without a single manual step.
- Mailings and distribution lists, connected to memberships through Brevo.
- Social media tracking, added as the work progressed.
- An AI agent for regulatory monitoring, plugged into Legifrance via Make, which feeds an automated monitoring newsletter.
- Make training, thanks to which the team now builds its own simple automations.

The results
The gain is measured in hours, and it has been tested under real conditions:
- 6 to 8 hours freed up every week from the membership automation alone.
- Proof through use. During the assistant’s maternity leave, the board was able to take over the union’s routine in one hour a day, where it had previously been a black hole of time.
- A team able to build its own simple automations, saving further time and continuing to serve members and partners well.
- A return on investment comparable to that of a full-time role over an entire year.
