How Nuances Bordeaux gained real-time visibility on its operations and its margins

The problem
Nuances Bordeaux is a fast-growing event caterer. Yet the whole business was still being steered with the tools it started out with:
- Stacked Excel files, held locally and never really rebuilt: costing lived in a workbook that had grown enormous.
- More than 500 raw ingredient references, hunted down with lookups and Ctrl+F every single time a cost was calculated.
- Product sheets that went out as printed screenshots.
- A fragile WordPress site: storefront and shop sitting on end-of-life plugins, heavy and risky to maintain. Selling as a caterer means precise rules (dates, opening slots, delivery or collection) that those plugins handled badly.
What it was costing
Two invoices, invisible but very real:
- Technical debt. A site nobody dared to change, at the exact moment the brand was growing.
- A business flying blind. To know how the company was really doing, you had to wait for the annual accounts or ask the accountant. Laure depended on someone else for a simple quote, and the decisions that commit a business (a price, a hire, a salary) were being made without a reliable dashboard.

What we built
A bespoke toolkit, designed around the reality of a caterer:
- A site rebuilt off WordPress, storefront and shop together, with a custom-built ordering journey that handles slots, delivery and collection, where no plugin was ever going to be enough.
- A costing and margin tool, available online behind a login: price history, net margin calculated to the gram (packaging and consumables included), a quarterly alert listing the prices due for review, and clean printable product sheets. Laure now runs it on her own.
- A cash-flow steering tool: health indicators, plus a simulation space that pulls salary contributions from URSSAF through an API, handles the shareholder current account and the director’s status, calculates the break-even point and compares several scenarios side by side.
- AI connected to those tools and to Pennylane, to rebuild the figures, challenge them, and make each closing reliable.

The results
The real gain: time, and strategic clarity.
- Margin steered product by product, to the gram: prices are now set on numbers rather than on instinct.
- A hire settled with the tool. Recruiting an apprentice, at close to €17,000 a year, was decided on costed scenarios instead of intuition.
- At least 3.5 hours saved every week running the site compared with the old WordPress, and the technical debt cleared along the way.
- Laure self-sufficient day to day: quotes, prices and product sheets, without depending on anyone.
The business has moved from craft management, patched together by hand, to steering of a corporate standard. Above all, the team now moves with confidence: it knows at any moment how the company is doing, without waiting for the accountant.
